Meeting Room Terms and Conditions

The Coeur d’Alene Public Library provides meeting rooms to groups and organizations complying with prescribed policies. Meeting rooms are designed to meet general informational, educational, cultural, and civic needs including discussion groups, panels, lectures, conferences, seminars, exhibits, films, etc. All meetings and programs must be free, open, and accessible to all members of the public. Reservations must be made by an adult (18+ years old) who agrees to take responsibility for activities in the room.

Facilities

Meeting rooms are described in detail on the second page. The Community Room includes a stage area and a limited-use kitchen. The need for these should be noted at the time the reservation is made.

Setup and Take Down

Groups using the rooms are required to set up tables and chairs needed for their meetings and to return them to storage when finished. No items may be taped or stuck to the walls or doors without staff approval. The rooms must be left neat and orderly and arranged as found.

Scheduling

Meetings may only be scheduled during regular library hours. Meetings must conclude and the rooms cleaned up at least 15 minutes before the library is closed. Users may only have one (1) upcoming reservation per rolling ninety (90) day period. Future reservations may only be scheduled after the conclusion of that meeting.

Janitorial Fee

Food and/or beverages served in the Community Room require a $30 janitorial fee payable upon the meeting date solely to cover extra potential cleaning costs. Organizations sponsoring the meeting assume responsibility for any damage to the room or its contents.

Equipment

A projector and screen are available in each room. Room users must provide their own laptops and, in the Gozzer and Jameson rooms, connecting HDMI cables and adaptors. Some laptops may not be compatible with the projectors provided and may not work wirelessly without required software. Microphones are available for the Community Room and limited arrangements can be made for auxiliary audio playing (using 1/8 inch stereo cords). No additional AV support or equipment can be provided.

Parking

Parking in the upper library parking lot is limited to two (2) hours and subject to ticketing for violations. Meeting planners are responsible for advising participants.

Celebrations/Parties

No personal celebrations or parties, whether public or private – such as weddings, showers, birthday parties, company holiday parties etc. are allowed.

Admission and Sales

Meeting room users may not charge admission, sell products or services, or use the library for fund-raising purposes. Free-will donations can be accepted to cover the cost of meeting materials.

Promotion

The library cannot provide publicity for meetings or include meetings in its printed and online calendars. Printed promotional materials that users have prepared must first be approved before the Library Director or designee post these to the bulletin boards.

Disruptions

Meetings and programs cannot disrupt the normal operation of the library.

The library offers ceiling mounted projectors in the Meeting Rooms.

All projectors are connected via a standard HDMI connection.  

Please note:

  • Staff cannot troubleshoot connectivity to the projector.
  • The library provides specific cables and signal amplifier (particularly for Apple/Mac computers) upon request, but makes no guarantee to have what is needed for every situation.
  • Computer owners will need to supply their own adapter to convert to standard HDMI if one isn’t already built in to the computer.
  • The library will not be liable for any damage to equipment incurred during use of library equipment.
  • Patrons may not make any adjustments to the projector itself.
